The Finance Director will provide financial leadership, including planning, development and monitoring of budgets (both organizational and grant budgets), expenditures, income, and cash-flow. This position is responsible for day-to-day accounting operations, financial reporting, and some aspects of human resources. This is a leadership position within the organization, as the Finance Director will work closely with the executive leadership team and contribute sound financial advice, projections, and management to steer the organization. The Finance Director’s primary responsibilities include: performing day-to-day accounting functions; ensuring compliance with GAAP standards and regulatory requirements; producing a range of timely and accurate financial reports; managing employee payroll, benefits and new hire procedures; and working with the organization’s executive leadership team. 

Core Responsibilities

Accounting and Financial Management:

  • Work with the President and CEO and Vice President for Program and Strategy to prepare, update, and monitor the annual operating budget.
  • Take responsibility for the budgeting processes, financial controls, and bookkeeping system, ensuring compliance with GAAP standards, regulatory requirements, and good internal controls.
  • Supervise all routine accounting functions, including the general ledger, accounts payable/receivable, purchasing, check runs, bank and credit card reconciliations, employee expense reports, and month-end closing activities.
  • Supervise the preparation of monthly and annual financial statements, activity statements, and cash-flow/financial position forecasts.
  • Project short and long-term cash needs accurately for the organization and notify the CEO if the organization needs consider transferring money into or out of investments.
  • Prepare regular project financial reports that enable other staff to effectively manage their activities; work with staff to assure understanding of the implications of these reports and what actions should subsequently result.
  • Coordinate with Development Advisor to oversee and prepare grant budgets and grant compliance, including producing and filing grant financial reports and tracking restricted grants.
  • Notify Development Advisor when any grant payments are overdue so that they can be followed up on and collected. 
  • Monitor the organization’s investment portfolio to ensure the activity is in compliance with the investment policy.
  • Communicate with financial vendors and advisors, as needed, regarding financial and investment issues.
  • Prepare for and support external audit process and identify remedies to any audit findings in a timely manner and oversee preparation of the annual tax filings.
  • Maintain current knowledge of organizational policies and procedures, federal and state policies and directives, and current accounting standards and ensure the organization’s internal controls, policies and procedures are in compliance.
  • Maintain accounting policies, procedures, and practices manual.
  • Provide quantitative and qualitative analysis and evaluation of financial data for decision-making.
  • Secure necessary insurance for the organization to manage risk. 

Human Resources:

  • Supervise the payroll and timekeeping system for the organization.
  • Work with HR consultant to manage employee benefits programs, including the retirement plan and health insurance.
  • Implement certain aspects of the new hire process, including setting up direct deposit, maintaining personnel files, and establishing benefits.
  • Review timesheets and process payroll on a biweekly basis.
  • Monitor compliance with state and federal employment laws. 

Leadership:

  • Work closely with the organization’s executive leadership team, acting in a collaborative manner and providing financial leadership to the organization.
  • Provide support to the Board of Directors and Board Finance Committee with respect to fulfilling their fiduciary duties.
  • Serve as the staff representative on the Finance Committee and Investment Committee meetings. 
  • Provide effective monitoring of the organization’s financial status and work closely with the executive leadership team to strengthen governance and sustainability of the organization. 

Team Work:

  • Attend regular staff meetings, staff retreats, and board meetings (as requested), and work as a team player to fulfill the missions and goals of the organization.

Qualifications:

A CPA and relevant employment experience are required. We are also looking for proven experience with GAAP, grants administration, fund accounting, internal controls and audit activities; proficiency with PCs, MS Office and Quickbooks; strong analytical and interpersonal skills; ability to work on a team; and past leadership experience.

Physical Requirements 

This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 10 lbs. The ability to travel locally and/or regionally is required, to attend conferences and retreats that include overnight stays. Reasonable advanced notice of extended travel will be provided.
