Greater Rochester Health Foundation seeks a detail-oriented and systems-focused Grants Manager to oversee the administrative and operational aspects of the grantmaking process. The Grants Manager ensures efficient grant lifecycle management—from application to award and reporting—while driving continuous improvement in systems, data, and workflow. The Grants Manager maintains accurate grant records, supports staff and grantees with technical and procedural guidance, and develops tools and reports to strengthen organizational learning and accountability. Ideal candidates bring expertise in grants administration, data management, and process improvement to help advance the Foundation’s mission of health equity.

Estimated salary range: $78,400 – $98,000 per year
Responsibilities
What are the key responsibilities? This position reports directly to the Chief Financial Officer and involves a variety of responsibilities which may include, but are not limited to:
Grants Administration
- Maintains robust and accurate records of all legacy and incoming data on our grants management system and grantee portal; providing technical assistance to partners accessing the system, as needed.
- Develops and refines grants management procedures, ensuring procedures are clearly documented and staff are trained where necessary on any changes.
- Responsible for grantee due diligence, proposal budget reviews, and analyzing financial reports regarding financial progress compared to awarded budget.
- Collaborates with program staff and leadership to ensure grant and contract proposals align with grant procedures and are processed timely after board approval.
- Coordinates legal agreements with grantees and contractors including budget, disbursements, and reporting schedules in accordance with Foundation policies and procedures.
- Creates dashboards, reports and other data analyses to support effective grant workflows and management tools.
Grants System Data Management
- Designs and builds grantmaking, contract and reporting infrastructure providing knowledge of institutional best practices and ensuring compliance with federal regulatory standards for nonprofits.
- Maintains, tracks and resolves all matters related to the online grant system interface, and data integrity.
- Automates workflow processes as needed and offers strategic solutions to continuously enhance foundation processes.
- Establishes policies and procedures pertaining to the management, security, maintenance and use of the system.
Finance
Supports the Chief Financial Officer with a range of financial and operational functions including grant forecasting, monthly budget reconciliation, annual audit, and other finance-related activities that ensure the Foundation’s fiscal health and accountability.
Qualifications
What skills might a successful candidate have?
- Passion for the Health Foundation’s mission and excitement about current work.
- Strong organizational and administrative skills as well as excellent writing and analytic abilities.
- Ability to manage and work on multiple tasks; flexibility and good judgment are essential.
- Strong computer skills, including knowledge of the Windows Office Suite of products, Outlook on Office 365, and database management systems.
- Judgement, integrity and strong customer service skills are essential.
- Experience working with economically and culturally diverse populations in various professional venues.
- Ability to work independently and as part of an integrated, diverse team and be comfortable in multiple, highly varied and ambiguous settings, with tight deadlines with different work and learning styles.
What education or experience is considered?
- Five years’ experience in a grants or contract management position or equivalent experience, preferably in a non-profit, health care and/or foundation setting.
- Solid knowledge of grants administration, including contracting and IRS regulations.
- High financial literacy, including experience working with budgets.
- Experience managing and augmenting a grants management system (Salesforce and/or Submittable platform a plus).
