Archstone Foundation is seeking an experienced, highly organized, and discerning Executive Assistant to support the Foundation’s President & CEO and Board of Directors.

Archstone Foundation works to improve health and social care for all older adults in California, partnering with communities to catalyze equitable change in health and social care systems. Justice, equity, diversity, and inclusion are integral to how the Foundation approaches this work.

The Executive Assistant will serve as a trusted partner to the President & CEO and the primary point of contact for the Board. Central to the effective functioning of the Foundation’s leadership, this role requires sound judgment, anticipation, and the ability to manage competing priorities and keep complex work moving.

Work Environment

Archstone Foundation is a virtual organization, and this is a full-time, non-exempt, remote position. In-person staff meetings and other gatherings take place throughout the year, and attendance is required. Because of this, candidates must reside in Southern California. Candidates should have a reliable home-office setup and dependable internet access. Travel expenses are reimbursed, and the Foundation provides a stipend for cell phone and internet use.

Compensation & Benefits

The salary range for this position is $65,000–$75,000, commensurate with experience and qualifications.

What You’ll Do

Support the President & CEO

The Executive Assistant will:

  • Manage the CEO’s calendar, priorities, travel, expenses, and meeting preparation.
  • Exercise sound judgment in protecting the CEO’s time and prioritizing what requires attention.
  • Track commitments, action items, and follow-up to ensure work moves forward.
  • Serve as a liaison between the CEO and the Board, staff, and external partners, coordinating communications and the CEO’s external engagements.

Support the Board of Directors

The Executive Assistant will:

  • Coordinate Board and committee meetings, including scheduling, materials, logistics, and follow-up.
  • Support Board onboarding and ongoing trustee coordination.
  • Serve as the primary point of contact for Board scheduling and administrative needs.

Support Foundation Coordination

The Executive Assistant will:

  • Coordinate staff meetings, retreats, and other Foundation logistics, and provide general administrative support as needed.
  • Work closely with the Finance & Operations Assistant. Together, the two positions form the administrative backbone of the Foundation, with distinct responsibilities and regular coordination to ensure time-sensitive work continues to move forward.

What We’re Looking For

The strongest candidates will bring excellent administrative, organizational, and time-management skills; sound judgment and discretion; strong written, verbal, and interpersonal communication skills; and a proactive, detail-oriented, and adaptable work style. They should be comfortable working independently in a remote environment, managing competing priorities, and using Microsoft Office 365, Adobe Acrobat, and video-conferencing tools.

Candidates should have at least five years of executive-level administrative experience or equivalent capability demonstrated through other roles or lived experience, ideally supporting senior leaders and/or a board.

Experience in a nonprofit, foundation, or grantmaking organization is a plus but is not required. No specific degree is required; relevant education, training, or equivalent experience is welcome.
